Move-Out Procedures

1. 45-DAY NOTICE: All residents must submit a Notice of Intent to Vacate (i.e. “45-Day Notice”) no less than 45 days prior to the actual date of departure to the Crest RSO.

At the time that residents submit their 45-Day Notice, they will be asked to (1) fill out a Departure Evaluation Form, (2) schedule a Pre-Inspection of their unit, (3) submit a Change of Address form at the local U.S. Post Office, and (4) schedule a Final Inspection of their unit.

In addition, at this time you will be given a copy of the Move-Out Preparation Guidelines, which will help you understand the areas that UCR Housing staff will be inspecting when you move out and the potential charges that you may incur should any maintenance and/or custodial discrepancies be attributed to you.

2. DEPARTURE EVALUATION: Both for statistical purposes and in order to assist UCR Housing in improving living conditions of future residents, departing residents are asked to provide the general reason for their departure.

3. FORWARDING ADDRESS: Departing residents are asked to submit a Change of Address Form to the local U.S. Post Office in order to have any mail forwarded that arrives in their absence, and change their billing address on-line at GROWL.UCR.EDU.

4. PRE-INSPECTION: a qualified staff person must perform A Pre-Inspection within the 30 days prior to move-out. The condition of your unit at this inspection is not of critical importance. This inspection is necessary to determine the degree of work anticipated when your unit is vacated and also to communicate helpful guidelines to you in preparing for the Final Inspection. Although the resident need not be present for the Pre-Inspection, it is sometimes helpful.

Any areas noted by the inspector during the Pre-Inspection are not the ONLY areas that should be given attention when you are preparing your unit for the Final Inspection, nor would they necessarily result in a maximum charge if left in their present condition. The areas noted merely indicate to you examples of conditions that the Final Inspector might identify as unsatisfactory and which might result in at least a minimal charge (i.e. $5.00). Noted items will help give you an indication of UCR Housing expectations.

5. FINAL INSPECTION: A Final Inspection must be performed on the day after physical departure, Monday-Friday (9am-5pm). Weekend and holiday move-outs will require an inspection on the next business day. The Final Inspection documents the condition of the unit upon being vacated. Charges are accrued for conditions deemed unsatisfactory. It is beneficial for the resident to be present during this inspection, although it is not necessary.

At the time of the Final Inspection, (1) all of the resident’s belongings and those leased from outside vendors must have been removed from the property, (2) the physical condition of the unit must have been returned as nearly as possible to the condition in which it was given to the resident, and (3) all keys must be surrendered to the housing representative.

6. DEPOSIT: Maintenance and/or custodial discrepancies will be assigned an appropriate charge by UCR Housing, which will be deducted from the resident’s $200.00 deposit on file. The resident’s deposit, less the aforementioned charges, will be forwarded in the form of a check within three (3) weeks. Deposit checks are sent to the forwarding address on file with the Registrar’s Office. It is therefore crucial that you ensure that the address on file with the Registrar, including your billing address, is current. Addresses can be changed on-line at GROWL.UCR.EDU.

Please note that housing payments do not necessarily terminate with the Final Inspection. Payments are charged through the date of your “official move-out” as represented on your 45-Day Notice. When a resident submits a 45-Day Notice less than 45 days before they intend to move out, the resident is responsible for making payments for the balance of the 45 days from the day their Notice was submitted.
